Construction runs the money side of building: who is contracted for what, what they have billed, what has been certified, what is held as retention, and how all of it lands against the budget. Every document posts to the general ledger as it happens, so the project position is current rather than reconstructed at year end.

The flow

How the work runs

  1. ContractAward a contractor a scoped contract on a project, with a value and a cost category.
  2. AdvanceIssue an advance against the contract, with a recovery basis.
  3. BillContractor bills or progress bills are raised against the contract.
  4. CertifyApproval applies retention, recovers advance and checks the budget.
  5. PostThe accrual reaches the ledger, attributed to the project.
  6. PayPayment settles the liability; retention stays held until released.

Contracts and contractors

One contractor record, shared with Procurement, carrying every contract they hold across every project. Contract value, scope and cost category are set once and drive everything downstream.

Budgets and cost categories

A budget per project, broken down by cost category. Commitments and actuals are measured against it continuously, so an overrun surfaces on the bill that causes it rather than in a month-end review.

Advances, recovered automatically

Mobilisation and material advances are issued against a contract and recovered from subsequent bills on the agreed basis. The outstanding advance is a balance the system carries, not a note somebody keeps.

Contractor bills and progress billing

Bills are raised against the contract, certified through approval, and posted. Progress billing measures work completed against the contract rather than re-typing quantities each cycle.

Retention held and released

Retention terms are defined on the contract; holds accrue automatically as bills are certified; releases are separate, approved events. Retention is a liability the ledger carries, with the release history behind it.

Site expenses

Day-to-day site spend is captured against the project and cost category it belongs to, so the project cost is complete rather than complete-except-for-petty-cash.

Accounting

How it reaches the ledger

Documents post through governed adapters — no export, no re-keying, and a closed accounting period refuses the posting.

  • Contractor bill accrual — the certified bill becomes a payable, attributed to the project
  • Contractor payment — settlement of that payable from a cash or bank account
